Lightning and Poster Instructions

Lightning presentations are short oral presentations that are intended to spark audience interest in your work and encourage attendees to discuss it further with you at your poster at the following poster sessions. Posters will also remain on display all week, allowing for more visibility.

Lightning Presentation

Each lightning speaker will have 3 minutes to present in their assigned lightning session. The session moderator will be strictly controlling session pacing and there will be no exceptions for speaking for more than 3 minutes. In the case when a paper presentation is canceled in your session, speakers will not get extra time, but will be able to transition to the poster session early. When preparing your slides:

  • It is recommended to use a maximum of 3 slides of technical content and one additional slide featuring your contact information, Paper ID #, and location in the poster hall. Note that posters will not be assigned a specific location, but will be assigned to an area based on technical topic area.
  • Ensure they are for a widescreen projection (16:9 aspect ratio). Click here to learn how to change your slide size. You will need to upload a PowerPoint version of your presentation.

Presentation Timekeeping

The moderator and assistant moderator will assist with presentation timekeeping. They will be using colored time cards. For Lightning presentations, you will have the following warnings:

  • At 1 minute remaining, the moderator will raise a yellow “ 1 Minute” time card.
  • When your time is up, the moderator will raise a red “Time’s Up” time card.

Required Onsite Presentation Upload

This conference will be using an integrated presentation management system. This allows all speakers to upload and preview their slides in the onsite Speaker Ready Room, not in the session room. This saves time and ensures your presentation will display correctly before you’ve arrived at your session.

If you will be using slides, you are required to upload them in the onsite Speaker Ready Room at least 4 hours before your presentation.

13NCEE Room AV Setup Details

Each 13NCEE session room will include the following AV equipment:

  • Projector and screen
  • Computer connected to an integrated presentation management system
  • Podium with microphone
  • Panel table with four microphones for use by any panelists or moderators
  • Speaker to play audio from all microphones and any embedded videos
  • Audience seating in theater style


Because we are using an integrated presentation management system, swapping of computers, loading slides from USBs, or downloading from your email during a session will NOT be allowed. You MUST upload your slides in the onsite Speaker Ready Room.

Poster Presentation

Each Lightning Presenter should also prepare a poster. To maximize your visibility, your poster will be on display during the entire 13NCEE in the Exhibit and Poster Hall. This will be a dynamic central place where conference attendees gather throughout the day for meal and coffee breaks, visit the exhibit booths, explore posters, and hold informal meetings at the many tables set up throughout the space.

You will be expected to be stationed at your poster to present for the majority of the poster session directly following your lightning presentation. Note, the poster session is combined with lunch. Please be sure to take a break to eat lunch during this time. These Networking Lunch and Poster Sessions take place at the following times:

  • Tuesday, July 14 from 1:00 – 2:30 PM
  • Wednesday, July 15 from 1:00 – 2:30 PM
  • Thursday, July 16 from 1:00 – 2:30 PM


The layout of the 13NCEE poster hall has been designed so posters from similar topic areas will be grouped together. Exact poster locations will not be given, but you must display your poster within your technical topic area section.

Poster Content: Please include the following on your poster:

  • Your 13NCEE Paper ID # so attendees can find and read your paper.
  • Your contact information to allow attendees to reach you with any questions.


Size:
The maximum size for your poster is 36” wide x 48” tall. It can have either a portrait or a landscape orientation. The board will be push-pin compatible; a supply of push pins will be available. The most successful posters have an uncluttered layout and large graphics.

Poster Printing: You are responsible for printing your own poster.

Setup Time: We encourage you to set up your poster before the 13NCEE Welcome Reception on Monday, July 13. Your poster must be set up by the morning of Tuesday, July 14 before the beginning of that day’s 10:30 AM concurrent sessions. It should remain posted through the Thursday, July 16 poster session. You will be notified of your general poster location, along with a poster hall map, closer to the conference.

Poster Session Attendance: To maximize your visibility, your poster will be up at all times. You will be expected to be stationed at your poster to present for the majority of the poster session directly following your lightning presentation. Note, the poster session is combined with lunch. Please be sure to take a break to eat lunch during this time. For the remainder of the week, we encourage you to explore the hall and visit other posters and exhibitors.

Poster Removal: Your poster must be removed by 6:30 pm on July 16, 2026. Posters not removed by authors will be disposed of by EERI or convention center staff.
