Speaker Instructions

The 13NCEE will have both Technical Sessions and Special Sessions, each with different formats. Your session type is listed in your presentation details email and on each session in the online program here. Please refer to the correct section below for your speaker instructions.

Technical Session Speakers

For all 13NCEE Technical Sessions, each speaker will have 12 minutes to deliver their presentation, plus 2 minutes to answer one question from the audience. Time limits will be enforced. In the case when a paper presentation is canceled in your session, moderators will allow more time for Q&A following all presentations. When preparing your presentation:

  • Ensure your slides are for a widescreen projection (16:9 aspect ratio). Click here to learn how to change your slide size. You will need to upload a PowerPoint version of your presentation.
  • Make sure to include your contact information and Paper ID # on your slides so attendees can find your paper and contact you if they have questions about your work.
  • Refer to the Required Onsite Presentation Upload section below on when and where to upload your final slides.

Presentation Timekeeping

The moderator and assistant moderator will assist with presentation timekeeping. They will be using colored time cards. For Oral presentations, you will have the following warnings:

  • At 5 minutes remaining, the moderator will raise a green “5 Minutes” time card.
  • At 1 minute remaining, the moderator will raise a yellow “1 Minute” time card.
  • When your time is up, the moderator will raise a red “Time’s Up” time card.

Special Session Speakers

Special Sessions are custom designed and have a variety of formats and number of speakers. The session organizer will inform you of the amount of time for your presentation, any formatting information, or other constraints on your presentation. You may or may not be expected to have slides. Please confirm this with the session organizer. If you will be preparing slides:

Required Onsite Presentation Upload

This conference will be using an integrated presentation management system. This allows all speakers to upload and preview their slides in the onsite Speaker Ready Room, not in the session room. This saves time and ensures your presentation will display correctly before you’ve arrived at your session.

If you will be using slides, you are required to upload them in the onsite Speaker Ready Room at least 4 hours before your presentation.

13NCEE Room AV Setup Details

Each 13NCEE session room will include the following AV equipment:

  • Projector and screen
  • Computer connected to an integrated presentation management system
  • Podium with microphone
  • Panel table with four microphones for use by any panelists or moderators
  • Speaker to play audio from all microphones and any embedded videos
  • Audience seating in theater style

Because we are using an integrated presentation management system, swapping of computers, loading slides from USBs, or downloading from your email during a session will NOT be allowed. You MUST upload your slides in the onsite Speaker Ready Room.
